Solutions: Anti-Spam and Anti-Virus

Hate spam and viruses? Immediately reduce their impact. Our E-mail Defense System identifies, quarantines, and blocks spam and other malicious content.  This software operates at the server level so there is no required software to install or configure on your computer and therefore no overhead.

Email Quarantine Report

Anti-spam and anti-virus protection prevents you from missing important e-mail by issuing a spam quarantine report. The report shows a list of all the e-mail that has been blocked and can be configured for delivery once a day, once a week, a few times a week, or not at all.

The report shows you the addresses and subjects of e-mail marked as spam. E-mail mistaken as spam can be released and allowed into your inbox just once or, by designating a sender as safe, always allowed into your inbox.

Full Control over Virus and Spam Settings

You have full control over quarantined e-mail through “allow” and “deny” lists that you manage through a Web-based interface. They permit you to set up your quarantine settings, policies, and spam settings and to review reports.

Optionally, you can download an add-in that will allow you to mark emails as safe or spam directly from within Outlook. The outlook add-in will automatically setup your email address whitelist by adding email addresses already listed in your sent items folder (looks at emails sent in the last 30 days), by adding the email addresses of new Outlook contacts you create and by adding the email addresses you type in the To: section of a email you compose.

Outlook Add-in Installation Instructions

  • Click here to go to the Outlook add-in download page.
  • Click the "Download Now" button
  • A dialog box may popup asking you to run or save the installation file, choose Run
  • Once the install starts follow the instructions.
  • After installing, open Outlook and you'll notice two new buttons in the toolbar area. Use these buttons to mark the currently selected email as safe (green) or spam (red).

Managing Your Preferences Online

Spam Quarantine Inbox

If spam is sent to your e-mail address and is quaratined, you will receive a "Spam Quarantine Summary" e-mail from the anti-spam server that is automatically send out each night, you’ll notice a link at the bottom of that e-mail that will take you to your spam quarantine inbox.  The link says "To view your entire quarantine inbox or manage your preferences, click here."  Once you have followed that link, the first page on the website you are taken to shows the e-mails currently in your spam quarantine inbox, this is where you can:

  • deliver legitimate e-mail
  • add the sender of legitimate e-mail to your whitelist
  • classify an e-mail as spam or not spam

Taking the time to classify the e-mail in your spam quarantine inbox helps the Bayesian filter become more effective at accurately classifying future e-mail it receives.

Whitelist/Blacklist Section

On the Preferences tab, the Whitelist/Blacklist section allows you to add or remove e-mail addresses from your whitelist. Your whitelist is a listing of e-mail address that you trust and don’t wish to have e-mails from those e-mail address filtered by the spam filter. This listing will be updated automatically if you have the Outlook add-in (mentioned above) installed.

Quarantine Settings Section

The Quarantine Settings section under the Preferences tab lets you set whether you want your messages to be quarantined or alternatively delivered to your inbox with a [QUAR] prefix added to the subject line. Here you can also adjust your quarantine notification frequencies and the e-mail address where your quarantine notification email should be sent.

Spam Settings Section

The Spam Settings section under the Preferences tab lets you disable spam filtering or adjust the sensitivity of the spam filter. The Tag, Quarantine and Block Score let you specify what should happen to an e-mail that the spam filter has assigned a score to. For example if you receive an e-mail that gets a score of 6 you can adjust the three score sliders to determine what action should be taken.

We recommend any e-mail that gets assigned a score of 2 or more should be tagged with a [SPAM] prefix in the subject line. Any e-mail with a spam score of 3 or more should be quarantined and e-mail with a spam score of 7 or more should be blocked.

After some time, if you find you are still receiving too much spam, adjust these scores to 1, 2 and 6 respectively.

If you find too much legitimate email is incorrectly classified as spam adjust these scores to 3, 4 and 8 respectively.

Remember the best option is to consistently classify the spam in your spam quarantine inbox so the spam filter becomes more intelligent over time, therefore requiring less input from you.
